Fair Notice Policy

When your appointment is made, our time is reserved exclusively for you. While your appointment remains in our diary, this prevents any other patient being able to book, and requires your practitioner to plan to be available for your care.

 

Therefore we kindly encourage you to give as much notice as possible if you can no longer attend.

 

This policy is designed to help all patients access our care and mitigate against preventable loss of clinical time and income.

 

Fees

 

  • We ask for a fair notice of minimum 24 hours to cancel or reschedule an appointment.

     

  • Appointments cancelled, rescheduled, or not attended with less than 24 hours notice, including non-attendance without notice, will be charged at the full appointment cost.

     

  • If this occurs, we will contact you and provide a simple online payment link.

     

  • If the outstanding balance remains unpaid, a formal written notice will be issued.

     

  • Failure to pay the fee after reasonable opportunity to resolve the matter may result in recovery action through the small claims process. This may result in additional court fees alongside the original appointment cost.

 

Advance payment

 

  • In the event of late notice cancellation, rescheduling, or non-attendance, future appointments will require upfront payment to secure.

     

  • Due to repeated instances of late cancellations after normal working hours, appointments scheduled to begin at 5pm or later require full payment in advance at the time of booking or within reasonable time after booking if made online.

     

  • If your appointment requires an advance payment to secure the booking, we will contact you promptly and provide a simple one-time payment link.

     

  • Failure to complete payment within the requested timeframe may result in cancellation of your appointment, you will be notified accordingly .

 

Exceptional Circumstances

 

  • We understand emergencies and unexpected situations can arise, and we will always aim to approach exceptional circumstances fairly and reasonably.
